Tips When Choosing A Conference Venue

By AJ Handley

If you are the organiser of an exhibition, conference or other event, then one of the most important things you will have to do is choose and book a venue in which to hold your event.

Conference venue finding can seem like a daunting task, but with so many types and sizes of venue on offer, there will definitely be the perfect venue for you in the right location, even if it takes a little time and stress to find it, and to make matters easier it's a good idea to have clear thoughts on what you need from a venue and what you would like but could live without.

The venue's size is probably the most important thing you need to address. So have an educated estimate of how many people will attend, and if there will be different attractions within the conference that will require separate rooms, then take the capacity you require for these into consideration as well.

The next factor to be considered is the brand image you want for both the organisation and the specific event. Do you want to come across as a cash rich, large organisation, or would you prefer to be viewed as innovative or different? Discuss this with the relevant people and then only shortlist venues which reflect your chosen image.

The location of the venue is also important, so think about where your delegates will be travelling from and make sure you choose somewhere close to the appropriate transport links, such as main motorways and train stations. It is also a prudent idea to check the availability and abundance of any accommodation in the area that may be required.

One final area for consideration when finding a conference venue is the facilities on offer at a venue, such as refreshments, internet connection or parking. Make a list of all the things you will need access to during the event and make sure any prospective venues have, or can get, everything you require.
